Fares are roundtrip or one way. Fares incl. all surcharges, Cancellation Policy & taxes. Tickets are nonrefundable, nontransferable, non-assignable. Name changes are not permitted. Displayed fares are based on historical data, are subject to change and cannot be guaranteed at the time of booking. There is a higher probability of seats being available at this fare on Tuesday, Wednesday and Thursday, and may require a Saturday night stay at your destination. Lowest fares may require an advance purchase of up to 21 days. Certain blackout dates may apply. Holidays and weekend travel may have a surcharge. Other restrictions may apply. Booking tickets over phone may include an additional $10 fee per passenger.
Comprehensive Policy on Cancellations, Rescheduling, and General Conditions
At Holiday Xpert LTD, we strive to offer our customers an exceptional travel experience, with clear and transparent policies that enable them to plan their bookings with confidence. We understand that plans can change due to personal, professional, or external reasons, which is why we present this comprehensive cancellation, rescheduling, and general conditions policy governing the relationship between the customer and our company. We recommend that you carefully read the following points before making any reservation, as each contracted service implies express acceptance of them.
1. Scope of Application
This policy applies to all reservations made through our website www.holidayxpertltd.com, as well as transactions managed by phone, email, or through any of our official channels. The terms described here cover standard tours, private tours, combined packages, transportation, affiliated accommodations, and any additional services that the client may contract through our intermediation.
2. Free Cancellation Period
Cancellations notified at least 45 calendar days in advance of the service start date will be eligible for a full refund, excluding administrative fees or costs for non-refundable tickets already purchased. This period applies to standard tour and transport bookings unless additional restrictions were specified at the time of purchase.
3. Cancellation Between 44 and 15 Days
Cancellations made between 44 and 15 calendar days before the service date will be entitled to a partial refund of 75% of the amount paid, with applicable non-refundable costs also deducted.
4. Cancellation Between 14 and 4 Days
For cancellations received between 14 and 4 calendar days before the start of the service, the client may receive a 50% refund, subject to the same deductions for already incurred costs. Changes to bookings within this period will also be subject to availability and prior approval.
5. Cancellations Within the Last 72 Hours
Cancellations made within the last 72 hours prior to the tour or contracted service are not eligible for any refund, except in documented cases of force majeure, which will be evaluated on a case-by-case basis.
6. No-Show
Failure of the customer to appear at the designated time and location for the confirmed activity (no-show) will result in the automatic loss of the paid amount, with no right to a refund. We recommend arriving on time to avoid issues.
7. Special Policies During Peak Seasons
During peak seasons (holidays, school vacations, international events), certain tours and services will be subject to stricter cancellation conditions, which will be communicated at the time of booking. These conditions will take precedence over the general policies stated here.
8. Voluntary Changes and Rescheduling
Voluntary changes to bookings (date, time, number of participants) requested at least 15 days in advance will be subject to provider availability and a $50 management fee per modified service. Availability is not guaranteed for rescheduling requests made on shorter notice.
9. Cancellation of Combined Services or Packages
Combined packages (e.g., flight + hotel + tour) will be considered a single unitary booking for cancellation purposes. The policy of each participating provider will apply independently, and it may not be possible to obtain a full refund for all components.
10. Force Majeure Cases
In duly documented force majeure situations (e.g., pandemics, armed conflicts, natural disasters, border closures), we will endeavor to offer the client the option to reschedule their trip at no additional cost or to receive a credit for use in future purchases.
11. Customer Responsibility
It is the customer's responsibility to verify the documentation requirements for their trip (passport, visas, health permits) and to arrive on time for the contracted activities. Failure to meet these requirements will not be grounds for a refund.
12. Refund Policy on Taxes and Fees
Certain taxes and fees charged by local authorities are non-refundable under any circumstances, even in cases of early cancellation or force majeure.
13. Right to Modify the Itinerary
We reserve the right to modify itineraries for operational, safety, or weather-related reasons to ensure the integrity of the experience. In such cases, reasonable alternatives will be proposed.
14. Refund Processing
Refunds will be processed within approximately 60 to 90 days after the receipt of the formal request and provided that it is in accordance with the applicable policy. The amount will be returned using the same original payment method. Bank fees or currency conversion charges are non-refundable and may be deducted from the amount to be refunded.
15. Changes in Local Regulations
In the event of unforeseen changes in travel regulations by local governments or international authorities (new restrictions, mandatory quarantines, border closures), the updated conditions in effect at the time of travel will apply, even if the booking was made earlier.
16. Image Rights
By participating in activities organized by Holiday Xpert LTD, you agree that images or videos may be captured and used for promotional purposes on our channels, unless you expressly inform us of your objection before the activity begins.
17. Policy Modification
We reserve the right to update or modify this policy at any time to reflect changes in our services, applicable laws, or operational needs. The modifications will take effect from the time they are published on our website.
18. Applicable Jurisdiction
Any dispute arising from the interpretation or application of these policies shall be subject to the jurisdiction of the courts of the State of New York, USA, with both parties expressly waiving any other jurisdiction that may correspond to them.
