Our cancellation policy is designed to provide transparency, convenience, and clarity so you know exactly what to expect when modifying or canceling a reservation. By completing a booking on www.holidayxpertltd.com, you acknowledge and agree to the terms outlined below.

1. Booking Confirmation & Documentation

Once your reservation is completed, you will receive a detailed booking confirmation email from Holiday Xpert LTD. This confirmation includes vehicle category, pickup/drop-off dates, rental location, payment summary, mileage terms, insurance options, and any selected add-ons. Please verify all information upon receipt. If corrections are needed, contact us immediately to avoid delays or penalties.

2. How to Submit a Cancellation Request

All cancellation requests must be submitted in writing via email to our customer support team. The timestamp of your received email will determine applicable cancellation charges. For urgent cancellations, we recommend calling our support line in addition to sending an email.

3. Standard Cancellation Fee Structure

To maintain a fair and consistent policy, cancellation fees are applied as follows:

  • More than 48 hours before pickup: No cancellation fee applies. You will receive a full refund.
  • 24–48 hours before pickup: A fee equal to 10% of the total rental cost will be charged.
  • Within 24 hours of pickup: A fee equal to 50% of the total rental amount will apply.
  • No-show or cancellation after scheduled pickup time: 100% cancellation fee. No refund will be issued.

A “no-show” occurs if the customer fails to arrive at the pickup location without prior notice. No-show charges are strictly enforced due to fleet allocation and vehicle holding costs.

4. Non-Refundable & Promotional Rates

Certain discounted, pre-paid, or promotional rates may be marked as non-refundable. These reservations cannot be canceled or modified once confirmed. Such rates will be clearly highlighted during the booking process to help you make an informed decision.

5. Refund Processing Timeline

Eligible refunds will be returned to the original method of payment within 7–10 business days after your cancellation request is approved. Processing times may vary depending on your bank, card provider, or financial institution.

6. Force Majeure & Unforeseen Events

If unforeseen events such as natural disasters, severe weather conditions, road closures, government restrictions, or emergencies prevent you from honoring your reservation, Holiday Xpert LTD will assess the situation on a case-by-case basis. When applicable, we will offer:

  • Reservation rescheduling at no additional cost
  • Credit for future rentals
  • Partial or full refunds depending on the circumstances
7. Early Returns & Unused Rental Days

If you return your rental vehicle earlier than scheduled, please note that unused rental days are not refundable. The rental amount is calculated based on the originally booked duration, not the actual usage period.

8. Extending Your Rental Period

If you wish to extend your rental, contact customer support or the rental location as soon as possible. Extensions depend on vehicle availability and will incur additional charges based on the daily rate at the time of extension. Extensions cannot be guaranteed if the car is reserved for another customer.

9. Customer Obligations & Timely Vehicle Return

You are responsible for returning the rented vehicle on the agreed-upon date and time. Late returns will result in additional charges calculated at the daily rental rate or higher, depending on rental conditions and local policies. Substantial delays may be treated as unauthorized vehicle use, leading to penalties or additional administrative fees.

10. Reservations Through Third-Party Platforms

If you booked your vehicle through a partner website, travel agency, or third-party booking platform, their cancellation policy may apply. All refunds, date changes, or adjustments must be processed through the original booking source.

11. Modification of This Cancellation Policy

Holiday Xpert LTD reserves the right to update or modify this policy at any time. The version active at the time of your booking will govern your reservation. We encourage customers to review this policy before making a reservation.
