These Terms & Conditions govern your use of our website and the services provided by Holiday Xpert LTD (“we”, “our”, or “us”). By accessing our website, submitting a reservation, or completing a car rental booking, you acknowledge that you have read, understood, and agreed to be bound by these terms. Please review them carefully before finalizing your rental.
1. General Terms of Use
By using our platform, you confirm that you meet the minimum legal age requirement to rent a vehicle (typically 21 years old) and that you have a valid driver's license with the authority to operate a motor vehicle in the rental jurisdiction. You also confirm that the information you provide is accurate, complete, and up-to-date. All rentals are subject to availability, and prices, terms, or conditions may change without prior notice.
2. Booking Confirmation
A reservation is considered confirmed only after you receive an official confirmation email from Holiday Xpert LTD. This confirmation will outline your pickup location, rental period, selected vehicle, and payment summary. It is your responsibility to verify all details upon receipt. If any errors or discrepancies are found, please contact us immediately to request corrections.
3. Payment Terms
Unless otherwise stated, full payment is required at the time of booking. Accepted payment methods include major credit cards, debit cards, and approved online payment platforms. The cardholder must be present at the time of vehicle pickup (unless otherwise permitted). Additional charges for fuel, tolls, damages, violations, or add-ons may be applied to your payment method after the rental is completed.
4. Age Requirements
The minimum rental age is generally 21 years, although this may vary depending on the rental location and vehicle type. Renters under 25 years of age may be required to pay a “young driver surcharge.” Luxury, premium, and specialty vehicles may require older age minimums and additional eligibility criteria.
5. Driver’s License Requirements
A valid government-issued driver’s license is required at the time of pickup. Temporary or paper licenses may require additional documentation. International renters must present a passport and an International Driving Permit (IDP), depending on state laws. All drivers must be listed on the rental agreement before operating the vehicle.
6. Rental Period and Return Conditions
The rental period begins when you take possession of the vehicle and ends once the vehicle is returned to the agreed location. Rental periods are calculated in 24-hour increments. Late returns may incur hourly fees or a full extra day charge. Returning the vehicle earlier than scheduled does not guarantee a partial refund.
7. Fuel Policy
The standard fuel policy is “Full-to-Full.” You receive the vehicle with a full tank and must return it full. If the vehicle is returned with less fuel, refueling charges plus a service fee will apply. Prepaid fuel options may be available at select locations.
8. Vehicle Inspection & Condition
Before driving away, you must inspect the vehicle for any pre-existing damage and ensure it is documented with the rental provider. Failure to report damage prior to departure may result in liability for damages when the vehicle is returned. Vehicles must be returned in the same condition as received, excluding normal wear.
9. Vehicle Use & Restrictions
The rental vehicle may be used only for lawful purposes and must not be driven off-road, overloaded, raced, or operated negligently. The vehicle must not be driven by anyone not listed as an authorized driver. Pets may require a cleaning fee if excessive hair or odor remains. Smoking in the vehicle is strictly prohibited and may result in a cleaning or deodorizing charge.
10. Insurance & Liability
Basic rental coverage is included in the rental price. Optional protection products such as Collision Damage Waiver (CDW), Supplemental Liability Insurance (SLI), or Personal Accident Insurance (PAI) may be purchased for additional protection. Unless such coverage is purchased, you may be held financially responsible for vehicle damage, theft, towing, loss of use, or third-party claims. It is your responsibility to understand insurance options prior to rental.
11. Cancellations, Refunds & Modifications
Modifications and cancellations are subject to our Cancellation Policy and Refund Policy. Fees may apply depending on the timing and nature of changes. Failure to cancel or modify a reservation within the allowed time frame may result in a partial or full forfeiture of payment. Refunds for eligible cancellations will be processed according to the timelines specified in our Refund Policy.
12. Taxes, Fees & Surcharges
Your reservation may be subject to taxes, airport fees, government surcharges, and environmental or licensing fees. These charges will be displayed during checkout and itemized in your final payment summary. Optional add-ons (GPS, child seats, additional drivers, insurance) may incur separate fees.
13. No-Show Policy
If you do not arrive at the designated pickup location at the scheduled time and fail to notify us in advance, the reservation will be marked as a no-show. No-show bookings are non-refundable, and the full rental amount may be charged.
14. Responsibility for Damages & Violations
You are responsible for all damages incurred during the rental period, including accidents, theft, vandalism, tire damage, windshield cracks, and interior stains. Traffic violations, toll fees, impound charges, and penalties incurred during the rental will be billed to your payment method along with administrative processing fees. If damages exceed the security deposit, additional charges will apply.
15. Governing Law & Dispute Resolution
These Terms & Conditions are governed by the laws of the United States and the state in which Holiday Xpert LTD operates. Any dispute must be resolved through negotiation, and if unresolved, through the appropriate state courts or arbitration, depending on local requirements.
16. Updates to These Terms
We may update or revise these Terms & Conditions at any time. Changes take effect immediately upon posting on the website. Continued use of our services constitutes acceptance of any updated terms, so we encourage periodic review.
