This Refund Policy describes how Holiday Xpert LTD handles cancellations, refund requests, and related adjustments for car rental reservations made through our platform. By confirming a booking, you acknowledge and agree to the terms outlined in this policy. Our goal is to ensure transparency and provide a fair, customer-focused refund process.

1. Booking Confirmation

A booking is considered confirmed once you receive an official confirmation email from Holiday Xpert LTD. This email will include essential details such as rental dates, pickup and drop-off locations, payment summary, and vehicle specifications. We strongly recommend reviewing your confirmation to ensure all information is accurate.

2. Refund Eligibility

Refund eligibility depends on the timing of your cancellation and the specific terms of the rental provider. In most cases, cancellations made well in advance qualify for partial or full refunds. Refunds are generally not offered once the rental period has begun, except under special circumstances outlined in this policy or the rental provider’s contract.

3. Cancellation by the Customer

To cancel your booking, you must submit a written request via email to the customer service team at Holiday Xpert LTD. The date and time your request is received will determine refund eligibility according to the cancellation fee schedule below. Phone cancellations may be accepted in urgent cases but must be followed by written confirmation.

4. Standard Cancellation Fees

The following fees apply when a customer initiates a cancellation:

  • More than 48 hours before pickup: 10% of the total rental amount will be charged.
  • 24–48 hours before pickup: 25% of the total rental amount will be charged.
  • Less than 24 hours before pickup: 50% of the total rental amount will be charged.
  • No-show or failure to cancel: 100% of the rental cost will be charged with no refund issued.

5. Non-Refundable Charges

Certain components of your booking are non-refundable under any circumstances. These include:

  • Booking service fees
  • Additional driver charges
  • Optional add-ons (GPS, child seats, winter equipment, etc.) after service activation
  • Insurance products (CDW, SLI, personal accident insurance, etc.) once purchased
6. Refund Process

Approved refunds are issued back to the original payment method. Please allow up to 30 business days for the refund to be processed. Processing delays may occur due to bank policies, card issuer constraints, or international transaction processing times. Holiday Xpert LTD is not responsible for delays caused by third-party financial institutions.

7. Refunds Related to Damage or Theft

If a vehicle is returned damaged, excessively dirty, or with missing components, the rental provider may deduct repair or cleaning costs from your refund (if eligible). In the case of theft, a deductible may apply per the insurance or rental agreement. The rental provider will supply an itemized report detailing any charges applied.

8. Cancellations Due to Force Majeure

In rare events such as natural disasters, severe weather, airline disruptions, pandemics, strikes, or government-mandated travel restrictions, Holiday Xpert LTD may offer flexible options including:

  • Full or partial refunds
  • Travel credits for future bookings
  • Reservation rescheduling without penalties

Such resolutions depend on the rental provider’s policies and documentation of the event.

9. Cancellations Made by the Rental Provider

If the rental provider cancels your reservation due to vehicle unavailability, operational issues, or other unforeseen circumstances, you will be notified promptly. You may choose to rebook an alternative vehicle or receive a full refund based on the provider’s terms. Holiday Xpert LTD will assist in securing the best available alternative.

10. Partial Cancellations

Partial cancellations (such as removing add-ons or shortening rental duration) may be eligible for a refund depending on the service used and timing of the request. Refund amounts vary based on the unused portion of the booking and applicable provider rules.

11. Changes to Rental Dates

Changes to pickup or drop-off dates are subject to availability. Adjustments may result in additional charges or pricing differences. If the new dates are unavailable, the change request may be treated as a cancellation under the standard fee structure.

12. Travel Insurance

We strongly recommend purchasing travel insurance to protect against unexpected situations such as medical emergencies, itinerary changes, trip interruptions, or rental delays. Insurance coverage may reimburse you for cancellations or costs not covered by our refund policy. Please note that insurance must be purchased separately and is not included in the rental price.

13. Policy Updates

Holiday Xpert LTD reserves the right to modify this Refund Policy at any time. Any updates will appear on this page along with an updated revision date. The version in effect at the time your reservation was made will apply to your booking.
