Service Fees
At Holiday Xpert LTD, we are committed to providing a smooth, transparent, and dependable car rental experience. To ensure high-quality service and maintain operational efficiency, certain service fees may apply in addition to the base rental price. These fees are standard in the travel industry and are designed to support booking management, customer support, and administrative processes. Please review the details below to fully understand any charges that may be applied to your reservation.
1. Booking Fee
A non-refundable booking service fee of $20 may apply to each reservation. This fee covers booking system operations, administrative processing, and customer assistance provided throughout the reservation journey.
2. Modification Fee
A modification fee of $25 is applied when changes are made to an existing booking—this includes updates to pickup time, car category, rental duration, or pickup location. Additional charges may apply depending on availability and changes in the rental price.
3. Cancellation Fee
If you cancel a confirmed reservation, the following cancellation fees will apply:
- More than 48 hours before pickup: $10
- 24–48 hours before pickup: $25
- Less than 24 hours before pickup: $50
- No-show or failure to cancel before pickup: 100% of the rental cost
4. Additional Driver Fee
If you wish to include an additional driver, a fee of $15 per day will apply. All additional drivers must meet the same eligibility requirements as the primary driver (age, license validity, etc.).
5. Late Return Fee
Returning the vehicle after the agreed-upon time may incur a late return fee of $30 per hour. In cases of extended delays, a full additional rental day may be charged according to provider policy.
6. Early Pickup Fee
Early pickup requests—when the vehicle is collected before the scheduled time—may be subject to a $20 service fee. Early pickups depend on fleet availability and must be requested in advance.
7. Fuel Charges
Our standard fuel policy is “Full to Full.” If the vehicle is returned with less fuel than at pickup, a refueling charge of $5 per gallon will be applied, along with a $15 service fee. To avoid these charges, please refill the tank prior to returning the car.
8. GPS & Equipment Rental Fee
Additional equipment such as GPS devices, child safety seats, snow chains, or ski racks may be rented for $10–$15 per day. Prices vary based on equipment type and availability at your pickup location.
9. Airport Pickup Fee
Rentals collected at airport locations may incur an airport service fee ranging from $15 to $25, depending on the airport and provider-specific facility charges.
10. Roadside Assistance Fee
Optional roadside assistance—covering tire changes, jump starts, lockout services, and fuel delivery—is available for $20 per service call. Severe mechanical issues are typically covered by the rental provider without additional fees.
11. Toll and Parking Fee
Any tolls, parking violations, or traffic penalties incurred during the rental period remain the responsibility of the renter. If not paid at the time of incident, these charges will be billed afterward along with the provider’s administrative fees.
12. Service Fee for Late Payment
Payments not completed by the due date may be subject to a late payment service fee of $10–$20. We encourage timely payments to avoid additional charges and ensure uninterrupted rental service.
13. Taxes & Government Fees
Depending on your rental location, state and local taxes, government surcharges, and tourism fees may apply. These mandatory charges will be displayed at checkout and included in your final rental cost.
14. Cleaning Fee
If the vehicle is returned excessively dirty—such as with heavy stains, mud, odors, or pet hair—a cleaning fee of $50–$100 may be charged. Vehicles should be returned in reasonably clean condition to avoid this fee.
15. Lost or Damaged Key Fee
Lost, damaged, or unreturned keys—including electronic and smart keys—may incur a replacement fee between $75 and $150. The exact amount depends on the vehicle model and the technology used in the key.
